Executive Assistant & Marketing Coordinator

The Opportunity
As Executive Assistant & Marketing Coordinator, you'll be the connective tissue of the office: keeping our internal partners and contractors organized and on schedule, managing the paperwork that keeps client relationships running smoothly, and helping to advance Early Ag's brand across social media, and communicate the impact of the team. This hybrid role blends administrative precision with marketing creativity—a great fit for the candidate who craves variety and meaningful work.
What You'll Do
Executive & Administrative Support
- Serve as executive assistant to Early Ag's partners, prioritizing and triaging requests across a busy, multi-principal workload.
- Coordinate scheduling for meetings involving multiple internal and external parties — clients, field team members, and partners — across calendars and time zones.
- Manage inboxes, correspondence, and follow-ups on behalf of partners as needed.
- Handle general office administration, travel coordination, and expense/receipt organization.
Agreements & Document Management
- Maintain, organize, and track client agreements and consulting contracts, including renewal and key-date tracking.
- Support the preparation, routing, and execution of contracts and agreements.
- Keep a well-organized digital filing system for partner, client, and vendor documentation.
Marketing & Social Media
- Draft, schedule, and post content across Early Ag's social channels (LinkedIn and others as applicable).
- Support marketing initiatives such as newsletters, advertising initiatives, promotions, event/meeting collateral, and website updates.
- Help maintain brand consistency across client-facing materials.
Light Project Management
- Track action items, deadlines, and deliverables across internal initiatives and client engagements.
- Help coordinate logistics for partner meetings, client events, and conference/registration needs.
- Provide light process support to keep recurring workflows (billing follow-up, onboarding, reporting) on track.
What You Bring
- 2+ years in an administrative, executive assistant, or office management role; experience supporting multiple stakeholders is a strong plus.
- Comfort with social platforms (LinkedIn especially) and basic content tools (e.g., Canva, Buffer/Later, Meta Business Suite).
- Sharp written communication and close attention to detail, especially with contracts and documents.
- A self-starter's instinct for staying organized and can manage multiple priorities and projects at once.
- Proficiency with Microsoft Office/Google Workspace, calendar tools, and cloud-based file systems (QuickBooks familiarity a plus, not required).
- Based locally in the Champaign-Urbana, IL area, available for occasional in-person meetings; otherwise flexible and hybrid-friendly.

Schedule & Compensation
This is a part-time, hourly, non-exempt position, estimated at 20–25 hours per week with flexible scheduling around core meeting times. Target pay range: $24–$30/hour (roughly $25,000–$39,000 annualized at 20–25 hrs/week), commensurate with experience, reflecting Champaign-Urbana, IL market rates for a blended administrative/executive assistant and marketing skill set.
